Correcting the AHG Awards

Two weeks ago, we posted on the Community that we were going to be fixing the requirements for the AHG awards: https://community.trooptrack.com/t/fixing-the-ahg-awards/7441. This is to address two issues. First, when sub-requirements for one level required girls to complete multiple other requirements (ex: Explorers need to complete 7-9, and requirement 7 is to complete requirements 1-2), we placed those sub-sub-requirements appropriately with the sub-requirement that they belonged to. Secondly, a user commented on the previous post and let us know that (per AHG National), requirements for another level cannot be repeated as electives for another level, except where specified (ex: Tenderhearts need to complete 1-3, so Explorers can only use 1-2 to fulfill requirement 9, while Pioneers and Patriots can't use any of them as electives).

Due to the way the system is set up, this will mean creating new versions of the awards and "retiring" the previous versions. This will allow the existing versions to continue functioning properly (so that we don't break anyone's achievement pages), while also making sure that the updated/corrected version is what people are adding/using from this point forward.

Before performing a massive overhaul of all of the badges, we wanted to let you know that we are testing it on one badge only first (across all levels). We have chosen the Photography badge to test. The new award will show up with two asterisks after the name, like this: Photography (T)**. We have retired the previous versions.

We are posting this on the Community, the Facebook page, and the Product Updates of the website in order to obtain feedback on the implementation of this with just the Photography badge, before we started overhauling all of the awards. 25 May 2018 Update

  • You can delete transaction categories now, even if they’re attached to transactions.
  • There was a bug with sending event invites: For some events some of the invitees would get an invitation every day while the other invitees wouldn’t get any event at all. We’ve fixed this.
  • On the "Send an Email" page mailing lists were sometimes duplicated. This has been fixed.
  • When recording attendance, apply any service hours towards the user’s  level instead of their patrol’s level. (This is helpful in AHG Troops with Pi/Pa units.)
  • On the dashboard, announcements are now listed with the newest at the top, and only current announcements show up (future announcements used to show too).

11 May 2018 Update
2018-05-11

  • There was a bug where if a user paid a fee on PayPal but closed the webpage before being redirected back to TroopTrack the fee wouldn’t be recorded in TroopTrack. Also, PayPal was emailing some of you about incorrect IPN stuff on our end. The two problems were related, and they should both be fixed now. Sorry about that!
  • Newsletters will start sending in the afternoon instead of the wee hours of the morning.
  • For Trail Life troops: on the “Purchase Completed Awards” page, awards for unchartered boys don’t show up anymore. Also, for troops using TL Lite, the links on that page that are supposed to take you to each boy’s achievements page work.

Several Bug Fixes :)

  • Don’t show the new quick-RSVP link for events that don’t require RSVPs (reported in the community: RSVP from the Event Invitation)
  • Corrected a bug in calculating when a training expires
  • For BSA Troops: Individual Rank Report PDFs are prettier—they render the HTML instead of showing raw HTML code (also reported in the community: Reports: HTML displays on requirements with nested items)
  • Fixed a bug that prevented creating events

RSVP from the Event Invitation! :D

You can now RSVP straight from the event invitation emails! This has been one of the most-requested features for a while, and we’re excited that it’s finally arrived.

From now on, each event invitation email will include one link to view the event and several other links to RSVP to the event. And coolest of all: none of those links require you to login! Even users without a username and password can RSVP to events straight from the email.

The links use a special token that only gives access to viewing the event and RSVP’ing to the event. The token doesn’t give access to other actions like editing the event or viewing user information. To do anything besides view the event and RSVP you'll need to log in.

When you click on one of the RSVP links we record your RSVP choice and show you the event details. This way you can confirm that the RSVP was saved. Also, if you need to RSVP for several other people you can do it all on one page.

Also, we updated the RSVP box. You can now select the RSVP option right on the event details page. It’s a lot easier to RSVP for multiple people this way!

However, most of these shiny new features don’t apply to events with fees. For events with fees, you can still view the event details without logging in, but in order to RSVP and pay the fee you’ll need to log in. A future update may make it possible to pay event fees without logging in.

Schedule Update This Week

Spencer and I (Kelsie) are closing on a house this afternoon and packing/moving, so we will be out of the office for part of today and all of Friday. Photos Fixed!

On Friday, 2 March 2018, we made some changes to the site in order to improve security that broke the ability to access documents and pictures uploaded to our site. We worked on this over the weekend, and Dave fixed the problem yesterday morning. Troop Documents and Photos are fully operational again. We apologize for this issue, and we're grateful for the kind heads-up our user gave us in the first place. You guys rock!

Feb 12 Update: No More Quarter!

  • No more quarters! We’ve officially removed the $0.25 TroopTrack transaction fee on all credit card payments. Woohoo!
  • Meeting Schedules can be used to create past events. Before they could only create future events.
  • We update who is invited to events more quickly; before it was a very slow operation. This isn’t a super visible change, though. The main difference you might notice is that the newsletter preview and the event details pages load faster.
  • Also, for about an hour and a half this morning creating events was broken; we’ve fixed that.
  • Edit: Oops, we forgot one: using Stripe to pay by credit card was broken; it's fixed now.

February 2nd Updates

We hope everyone is having a great afternoon! :) Here are some new updates to the site that just went live today! Woohoo!

  • We restored the “Snorkeling” merit badge (even though it isn’t a real merit badge), so that we didn't break the achievements pages of some of our scouts anymore.
  • All events that were set to send invitations/reminders “zero days” before the event were reset to never send invitations/reminders, so you will stop getting invites on the day of an event for things that shouldn't have sent anything at all. This also fixed some problems with recording attendance for those events.
  • With online payments, if it’s set to have the Troop pay the fees, this now includes the $0.25 TroopTrack fee. (We’ll remove the $0.25 TroopTrack fee entirely pretty soon.)
  • The completion dates for repeated awards are now being calculated correctly. Before this update, we would give them each the same auto-calculated completion date.
  • If a Patrol/Den/Unit has spaces in its name (like “Thunder Birds”) its magic mailing list email (like “thunder-birds@trooptrack.com” or “thunder-birds@some_troop.trooptrack.email”) didn’t work. This has been fixed.
  • Editing the “Send Invites/Reminder When” parts of an event is now simpler.

We released some more stuff! :)

  • Fix issue where event invites were getting set to send "0 days" before the event. We didn't edit already-created events. If an event says it will send invites "0 days" before the event, you can now change it to never send events if you would like.
  • When using the "Record Awards Progress for Attendees" button on an event, the Bulk Award page’s "Check All" checkbox that now only checks the visible checkboxes
  • Meeting Schedules use the new RSVP options: "RSVP from within TroopTrack", "Handle RSVPs outside TroopTrack", or "RSVPs not required"
  • Destroying a meeting schedule only deletes the future events

Christmas Break Update

We forgot to mention some updates that were released over the Christmas Break!

  • TL Lite users can move people by clicking and dragging on the Members > Patrols page
  • In a user's profile, setting a user's patrol to blank works
  • Deleting custom awards is easier to find: Manage > Settings > Custom Awards
  • Handle "Outside RSVPs" and "RSVP Required" options more clearly for events: use "RSVP from within TroopTrack", "Handle RSVPs outside TroopTrack", or "RSVPs not required" instead.
  • The BSA Troop custom report called "Adult Leadership Report" includes results
  • Make it more obvious that the Record Attendance page is also the place for a leader to record RSVPs
  • Add Xfinity Mobile to our list of cell carriers

Communication Problems

We've made a fix to the Communications Problems page!

Go to Communicate > Communication Problems to see who has been placed on our Spam, Unsubscribe, or Bounce lists. You can also remove them from those lists.

If someone suddenly stops receiving emails from TroopTrack, check this page. They may have accidentally marked us as spam. You can then click the "Remove Spam Report" button, and they will begin receiving emails again.
